Student-Athlete Exams

Aloha Student-athletes!

We are working with the Student Athlete Academic Services (SAAS) to offer student-athletes exam proctoring services through a collaboration between SSC, instructors and the student-athlete for any scheduled exams during NCAA team travel.

We are offering three options for instructors with student-athletes that will be traveling:

  • Pre-trip exams can be held in-person in SSC spaces.
  • During-the-trip exams must be online exams to be held during the student-athletes’ designated “study hall” periods provided that the study hall period also coincides with the SSC hours of operation.
  • Post-trip exams can be held in-person in SSC spaces.

Note to Student-athletes

SSC has a designated person to proctor in-person exams every Monday – Friday 9 am – 4 pm. If it is possible for you to utilize either the pre-trip or post-trip exam options, it will greatly cut out a lot of unpredictable factors.

As for the during-the-trip exams, please be mindful that certain items are out of our control such as designated study hall times, hotel internet reliability, possible traffic delays that require study halls to be pushed back to a time where SSC does not have adequate coverage, etc.

Although not ideal, should these cases arise we may be required to postpone an exam by either a day or two or even post-trip.

If you are a traveling student-athlete who will be missing an exam, please follow up with your professor to determine together whether the exam will be pre- trip, during-the-trip or post-trip.

If a pre-trip or post-trip in-person exam is requested with us, please ensure your instructor has submitted the form requesting our services first, then email both uhmexam@hawaii.edu and your instructor with the time and date you would like to schedule your in-person exam. We ask for this email at least 48 business hours in advance to the date and time you are requesting an exam.

If you will be requesting a during-the-trip proctoring option, this will be held during your designated study hall date and time. To request please ensure your instructor has submitted the form requesting our services first, then email both uhmexam@hawaii.edu and your instructor with the date you would like to schedule your SSC remote-proctored exam. Instructors must submit the request at least one week before the requested proctor date, after which student-athletes must email us at least 5 days in advance. Student-athletes who are added last-minute to trip rosters will have to opt into post-trip proctoring that must be completed within 3 days after the trip.

Please note if you will be requesting the during-the-trip proctoring option you will need all of the following:

  1. A laptop or large screen iPad.
  2. Steady/reliable internet connection.
  3. A comparable secondary device (iPad, tablet, teammates borrowed laptop, cell phone etc.) with video capability and steady/reliable internet connection OR a movable webcam.

Remote-proctored examination(s) require students to project themselves and their computer desktops onto their and their proctors desktop screens using Zoom such as in the following photo.

Please bring it to the attention of your instructor as well as SSC if you will not be capable of utilizing the remote-proctor setup for an during-the-trip exam and we will try to work with your instructor to find a suitable alternative solution.

To apply for an exemption to the in-person requirement for the pre-trip or post-trip exam options, email uhmexam@hawaii.edu with written reasoning why you are requesting an exemption from the in-person option.
