User Borrowing Privileges

Hamilton Library welcomes anyone to use open spaces and materials on open shelves. Some materials are kept in protective storage and may not be available to all library users, or may only be available for a fee. Electronic resources often have licensing agreements that restrict usage. The library may also limit access to the building for specific days and times, such as during extended hours for exam periods.

Proxy users are included under the user who has granted the proxy.

Access to Special Categories of Material (move to “Request” page?)

  • Special Permission
    • Special permission can be given for items that are non-circulating or for library use only.
    • Permission can only be obtained at the Library Information Desks during service hours. Each collection is responsible for granting special permission for material from their collection.
    • The loan periods for approved special permission is two hours.
  • Course Reserves
    • Reserves Services are available to University of Hawai‘i at Mānoa faculty who wish to provide short term access to required class readings and media.
    • Items placed on reserve are only available for use at Hamilton Library.

  • Archives, Closed, and Rare Collections
    • These collections are not openly available.
    • Items must be requested online to view.
    • An email notification is sent when the item is ready.
  • Hawaiian and Pacific Collections
    • The Hawaiian and Pacific Collections are closed collections.
    • Items must be requested online to view or check out
    • The Hawaiian and Pacific Collections have their own circulation desk to check out their materials
    • No Holds or Recalls can be placed on Hawai‘i and Pacific materials.
  • Government Documents
    • Federal and United Nations documents may be borrowed for 28 days with two renewals.
    • The 28-day loan period is for all patron categories.
  • Wong Audiovisual Center
    • Undergraduates, Graduates, Staff, and Faculty from other UH System Campuses are limited to 5 audiovisual checkout at a time.
    • All patrons get 1 renewal online or in person at the Hamilton Library Circulation Desk.
    • There are no holds or recalls on Audiovisual Materials.

Borrowing Policy

  • Hamilton Library complies with the State Attorney General’s opinion on library record confidentiality and the American Library Association’s Policy on Confidentiality of Library Records.
  • Borrowers are responsible for all the items borrowed on their account.
  • Fines and fees will be assessed if the item is returned after the due date, which is stamped into the item.
  • If an item is damaged, lost or stolen, fines will be assessed.
  • The library is not responsible for notices that are unforwarded, unread, or misdirected or for email or computer malfunctions
  • Recalled Items — Checked out materials are subject to recall. Notices are emailed or mailed out to patrons notifying change of due date for recalled items.
  • Students, faculty, staff, and affiliates from the other UH Campus Systems may borrow most materials from Hamilton Library.
  • Library Staff can assist with retrieving material from the stacks and checkout for people with disabilities.
