Purpose

The Undergraduate Research Opportunities Program (UROP) Mentor Eligibility Petition allows University of Hawaiʻi at Mānoa (UHM) employees who do not meet current eligibility requirements to serve as an official mentor for UHM students funded by UROP, including through ERC, Project, and Presentation funding opportunities, and to be eligible for the Mentoring Grant for Summer Undergraduate Research and Creative Work. Granting of mentor eligibility is not guaranteed. Once a mentor petition is granted, that petitioner will be eligible to serve as an official mentor for UROP-funded students and apply for the Mentoring Grant for Summer Undergraduate Research and Creative Work as long as they maintain their UHM affiliation at the time of petition application or until further notification from the UROP.

Eligibility

Petitioner must possess a graduate (M.A., M.S., Ph.D., etc.) or a professional degree (J.D., M.D., or equivalent), and be an official UHM employee in one of the following positions:

  1. Emeritus Graduate Faculty
  2. Postdoc (postdoctoral fellows and postdoctoral associates)
  3. Lecturer
  4. Affiliate Graduate Faculty
  5. Faculty Affiliate
  6. Research Affiliate
  7. Administrative, Professional and Technical (APT)

UROP reviews all petitioners’ official UHM affiliation with the UHM Office of Human Resources.

Petition Deadline

Petitions, including support documentation from the official UHM supervisor, should be submitted at least 4 weeks prior to submitting any of the following documents to UROP:

  1. ERC Mentor Form
  2. Project Mentor Form
  3. Presentation Recommendation Form
  4. Application for Mentoring Grants for Summer Undergraduate Research and Creative Works

Required Documents

  1. Abbreviated curriculum vitae from the past 5 years, including:
    • The petitioner’s official UHM affiliation and appointment period
    • A summary of research/creative work activities and publications/presentations/competitions and past mentoring activities (i.e., high school, undergraduate, graduate and/or professional mentoring)
  2. A statement including:
    • Your interest in mentoring UHM undergraduate students on research or creative work
    • A description of your mentoring philosophy, including your general approach to mentoring (frequency of meetings; oversight vs. independence on idea generation; interaction with other people in your lab or creative space; inclusion on presentations and/or publications; etc.); goal(s) in mentoring UG students; and desired student outcomes from participating in mentored research/creative work with you (300-word limit)
  3. Documentation of support from the petitioner’s official UHM supervisor (i.e., a letter or email from the petitioner’s Department Chair or official supervisor at UHM acknowledging their support of your mentoring undergraduate students as part of your position at UHM)

Application Procedure

Submit all required materials to UROP using the InfoReady portal.

Evaluation

A 3-member UROC review committee will evaluate Mentor Eligibility Petitions after an initial eligibility review by UROP. Petition results will be delivered via email to the petitioner and their official UHM supervisor ~4 weeks after the petition has been submitted.
