Group Project Applicants

Keep in mind that each member of a group must submit an application form and include identical group submissions of each PDF described below. If you are applying to present completed work, please check out our Presentation Funding pages.

Group Project Proposal PDF

Detailed project proposals must be uploaded within the second page of the project or presentation application form as a single .pdf.  The Undergraduate Research Opportunity Council (UROC) is the reviewing body for the proposals, and regards the strength of your proposal as one of the key components of a successful application packet. With that in mind, proposals:

❏ Must be saved as a single .pdf representing all members as “Gx.[first alphabetically occurring last name of group members].[corresponding first name].PROP”
❏ Collaboratively create one .pdf proposal for entire group which will be uploaded in each individual member application form
❏ Must be reviewed and approved by your UHM Faculty Mentor
Should utilize the rubric as a resource to understand how proposals will be judged
❏ Must be no longer than three pages, single-spaced, 12-point font
❏ Should not include a cover page
Must include a three-line header on the top left of each page in this format:
          Applicant Names:  [Full names of each applicant, alphabetical order by last name on one line]
          Title of project: [Full title of Project]
          Mentor Name: [Full mentor name including title at UHM]
❏  Must include within the three-page limit: Project Description, Significance, Process/Methodology, Timetable, Applicants Roles

Project Description
Think of this as a chance to explain what you propose to do.
The Project Description should articulate your intended goals for this research or creative project. Your objectives should be detailed, clear, and relevant to the field or discipline.  In science-related fields this is where you would state your hypothesis. In other fields, where applicable, this is where you would state your research question(s).  

This is your opportunity to explain why your project is important.
Significance can be defined broadly as it relates to your intended audience, or your discipline/field.

Explain how and where you plan to reach your goals.
Provide explicit description of how you will meet your goals and objectives stated in the Project Description above. Illustrate all the steps involved in your project to justify your request. Be sure to reference any specific model, theory, or standard practices that inform your process/methodology. Describe any relevant skills that you will rely upon to successfully complete the project, if applicable. Proposals that require travel must include justification of travel needs.

Explain when you will undertake each step described in the Process/Methodology section above.
Include a clear and detailed timetable of tasks to be accomplished. Your timeline might include preparatory steps, but please note that we will only fund efforts beginning the next semester of enrollment following the application semester. Take into account the feasibility of your timetable as a factor for the judgment of the proposal. Design the timetable to fit your project needs provided that all UROP completion requirements will be met by your graduation (some students create projects that last one semester, while others take place over multiple semesters). Make sure you mention items from your budget in the timeline if they include travel, conferences, and submission deadlines. If you plan to travel for your proposal, you will need to be enrolled in least one credit in the semester of travel.

Applicant Roles
Tell us who will be responsible for which parts of the proposed project.
Clearly define what each member’s role will be in the proposed project.  Each member should be actively engaged in the project and demonstrate ownership of the project design.

Group Supplement PDF

Supplemental information must be uploaded within the second page of the application form for your project or presentation as a single .pdf. Supplemental information listed below is required, additional items may be included – but ONLY if deemed essential for evaluation.  This is your chance to show creativity and skill with concise and comprehensive writing. With that in mind, the supplement .pdf:

❏ Must be saved as a single .pdf with the filename “Gx.[first alphabetically occurring last name of group members].[corresponding first name].SUPP”
❏ Collaboratively create one .pdf supplement for entire group which will be uploaded in each individual member application form
❏ Must be reviewed and approved by your UHM Faculty Mentor
Should utilize the rubric as a resource to understand how proposals will be judged
❏ Must be portrait orientation, single-spaced, 12-point font
❏ Should not include a cover page
 Must include a three-line header on the top left of each page in this format:
          Applicant Names:  [Full names of each applicant, alphabetical order by last name on one line]
          Title of project: [Full title of Project]
          Mentor Name: [Full mentor name including title at UHM]
❏  Must include: itemized budget (with individualized breakdown), biographical sketches, research conduct statement (if applicable), references.

Itemized Budget with Justification 

In addition to the overall group budget, you must include a breakdown of funding to distribute between each group member (organized alphabetically by last name) , divided without splitting individual line items, within one page for each member (each starting on a new page, portrait orientation). A well thought and detailed budget justifies your requested expenses. Group must make an overall group budget for all funds requested as a table with these six columns:

Keep in mind:
• Each expense should constitute a line item
• Specific justification determines necessity of expenses
• Council may deny funding line items selectively
• Requests beyond the maximum funding amount are disqualified from review
• Indicate items being covered through other sources also indicate funds requested from other sources, even if they have yet to be approved 
• Budgets are subject to institutional review for every individual applicant
• Budget must be in portrait orientation
• Include a total amount requested at the very bottom
• You are allowed to make minor adjustments to specific line items if funded, but the total amount cannot be increased, budget increases will be considered ONLY for approved line items 

Items covered by UROP funding may include:
Specific items necessary for your project, like chemicals, supplies, materials, reference materials, copying/printing, postage, software, travel, facilities rental, vendor invoices, equipment, and other related costs.
Travel expenses if necessary for your project/presentation including airfare, ground transportation, and lodging. Please list the specific dates for each travel related expense on the respective line. Please note that travel has to take place in the semester of funding being disbursed, which requires enrollment at UH Mānoa. You may request funding for per diem in the form of Meals & Incidental Expenses (M&IE) indicated by the federal government. Please note that rates vary for M&IE  within the continental US  as opposed to for Alaska, Hawaiʻi, US Territories, and foreign countries (use local meals and incidental amounts). We encourage wise spending, by including comparisons can show you have looked at multiple airline/lodging possibilities. We may look up comparisons and fund less than requested if lower costs are found.
Stipend funding may be included as the last line item of your budget to cover your time at a standard rate of $11.65 per hour. If you are requesting funds for your time (up to 20 hours per week), be sure to indicate stipend amounts as your last line item according to each phase indicated in your timeline. You must indicate dates and hours you plan to work for your requested stipend as a stipend table with the hours and dollar amount totaled at the bottom. Stipend is not paid for hours spent on coursework, or for fulfilling UROP requirements. All funds are subject to review by the Financial Aid office to determine fundability according to individual cost-of-attendance and should not be referred to as wages or salary. You may not receive both stipend and per diem, if traveling.
Items that are NOT covered by UROP include normal laboratory operations that should be provided by the university/department including major hardware/equipment purchases. We also do not fund incentives such as gift cards, participant compensation,  expense allowances, payments to individuals, food outside of M&IE, clothing, or items with ambiguous descriptions such as misc., other, etc + no funding for non-specific items will be considered. UROP funds cannot be used for UH tuition or other tuition costs outside of UH Mānoa including trainings and workshops, or honorarium for outside presenters/speakers. UROP also does not cover expenses for organized study programs, as all education should be provided by UH Mānoa. Individuals participating in organized study programs (i.e. field schools, study abroad, etc.) may request funding for only their personal projects which may happen to take place during the organized program.

For your reference, you can check out a sample budget.  Do not use it as a template, but rather for inspiration for your own document to show your accountability, transparency, and thoughtful planning.

Biographical Sketches
One paragraph about each member: academic background (including any degrees/certificates previously earned), the experience or interests you have, and why the proposed project is important to you. Also, please explain how the proposed project relates to your academic or professional goals. This is your chance to paint a picture for the council about who you are and all considerations that should be taken into account. Due to space limitations, please include all biographical sketches within one page.

Research Conduct
As a representative of the University, you are expected to adhere to professional behavior that reflects well on the institution. If your project involves human or animal subjects, or hazardous materials, you must follow steps to seek compliance with the university-determined  ethical standards for such research.  Include a statement indicating that you understand the importance of compliance with university standards, and your progress to meet those standards.  It is not required to have final approval at the time of application, but compliance status must be stated and at least pending (although status must be approved prior to fund disbursal). If your project does not involve human or animal subjects, or hazardous materials, please indicate such in this section.

List books, articles, and other sources relevant to the background and significance of the project. Please cite sources central to the project showing completion of critical background research. Citation format should adhere to conventions for that specific field.
