By when do I have to register for the conference?

Authors of accepted papers: At least one of the authors of the paper must register and pay the registration fee by October 12, 2024.Otherwise, we assume the paper is withdrawn from HARC-2025.

Starting with HARC-2025, we reject papers from authors of accepted papers who have not presented and withdrew their papers two times.

Others may register and pay the registration fee by October 30, 2024 to qualify for the regular registration fee (Ph.D. students $200 and others $650). The late registration fee of $750 will be required for all who miss the October 30, 2024 deadline (including Ph.D. students).

 

How many minutes do I have for my presentation?

For presentations that follow with discussants, we recommend 15 minutes of presentation, followed by 10 minutes of discussion, and 5 minutes of questions and answers. However, the Moderators of sessions will make the final determination on how to manage their sessions. 

For presentations without discussants, we recommend 15 minutes of presentation, followed by 5 minutes for questions and answers.

 

How do I know if my paper is accepted for “concurrent presentations followed by discussants” or “concurrent presentations without discussants?”

If your acceptance email has a title similar to “Congratulations, Paper [*PAPER-ID*]- Accepted for Presentation followed by Questions and Answers,” it means that a discussant does not follow your presentation; otherwise, it is followed by a discussant.

 

My plans may change, can another person present on my behalf of me?

Yes, as long as you let us know before November 30, 2024, we will move your registration fees to the new presenter and will change our documents. Please know that you cannot attend the conference if you have assigned your registration fee to another presenter.

 

To what airport should I book my flight?

Participants should fly to the Honolulu (Daniel K. Inouye) International airport (Airport code HNL). From HNL, participants can take ground transportation (taxi, Uber, Lyft, etc.) to the conference venue/hotel.

 

How can I get to the campus from the airport/hotel?

The conference address is 2404 Maile Way, Honolulu, HI 96822. Uber or Lyft will be a good option for you if you don’t plan to rent a car. It will take approximately 20 minutes and cost around $30. If you choose to take a taxi, it will cost around $50.

There will be a shuttle on the days of the conference with pick-up/drop-off locations at the Prince Waikiki, Ala Moana Hotel, and UH Campus. Please refer to the shuttle schedule here.

 

Will there be guest parking for HARC attendees on Campus?

More information is below:

The university has installed a pay-for parking install. It costs $25 on our side of campus for the whole day, and you can move your car as long as you leave the receipt on your car’s dashboard. Sometimes the daily function does not work, and you have to pay for three hours at a time. You can pay by credit card. There will be a limited area where you can park, but since the classes are not in session during the conference time, you will be able to easily find parking spaces (Green Zones):

You can also park in the neighborhood for free.

 Will HARC accept a request to schedule a particular paper presentation for a specific day or time?

It is not possible to accommodate requests to schedule a paper or session for specific days or times. We respectfully ask you to understand that the schedule must be set with the assumption that presenting authors will be attending the conference for the entire three days of paper sessions (from 8 am to 5 pm).

 

What is included in the full conference registration? Will meals be provided?

The full conference registration includes attendance at all conference sessions, possible workshops, three breakfasts, three lunches, a banquet reception, and refreshment breaks.

 

I have special dietary needs. How can I request special meals?

Meals for the conference are catered. Catered foods will include at least one vegan, Vegetarian, and gluten-free dish. We are unable to accommodate other special requests.

 

Can I bring a guest?

Guests are welcome, but they must pay for their own meals. Guests are not admitted to any conference sessions.

 

I need a visa to travel.  How do I obtain a letter of invitation?

After the completion and payment of your conference registration, please contact the HARC Conference Office via email at harc@hawaii.edu to request an invitation letter. As visa requests can take several weeks, registrants are strongly encouraged to contact us at least 3 months prior to the conference (i.e., by October 1, 2024).

 

What is the refund policy for conference registration cancellations?

The registrations fees are refundable as follows:

  • Before October 30, 2024, 50%
  • After November 1, 2024 – Non-refundable
  • Ph.D. students’ registration fee ($200) is non-refundable

We strongly suggest that you register for the conference only if you believe that you will attend.

 

When will the presentation schedule be released?

The presentation schedule will be published on the HARC website by December 15, 2024. Note that the schedule is subject to constant updates.

 

When should I arrive at the conference?

We recommend that you arrive at least one day before the conference starts. The paper sessions start at 8:00 a.m. on January 3, 2025.

 

What is the recommended attire for the conference?

Conference attire will be casual and comfortable. Layered clothing may provide the greatest comfort since meeting room temperatures may be cool.

 

 Will wireless Internet be available?

Free UHM internet access will be available for use by conference participants throughout the conference period.
